Georgetown Day School is closed from noon on Friday, March 22 through Tuesday, April 2. All school offices are closed, including Admissions and College Counseling. Any voice or email messages will be returned on April 3.

GDS 360 Extended Day Program Practices and Policies

The GDS 360 Extended Day Program includes a variety of enrichment classes designed to build community and foster friendships in a fun and relaxed atmosphere. Complementing the GDS learning experience, GDS 360 offers physical and creative outlets for self-discovery and lifelong learning through structured classes, free-choice and group activities, and a homework center.

GDS 360 Rules
The rules for GDS 360 are the same as the rules during the school day. As such, we expect children to be respectful, be caring, and be responsible with regards to the GDS 360 faculty, students, and supplies. Children who are unable to follow these guidelines may be referred to the program director, division principal, or asked not to participate. Please reinforce this expectation with your child.

Program Times
GDS 360 operates daily from the end of classes until 6:00 PM, including Wednesdays when classes end an hour early. Also, GDS 360 provides field-trip programming until 6:00 PM on the two days during the year when school is dismissed at noon. Please note that GDS 360 does not operate on days when GDS is officially closed, including vacations, conference days, staff in-service days, and when the School is closed due to inclement weather. GDS 360 does NOT meet on Field Day. All programs end promptly at 6:00 p.m. each day and students who have not been picked up by 6:00pm will be assessed a late pick-up fee.

Half-Days
Please note that GDS 360 is offered on the two days when GDS releases at noon (the day before winter break and the day before spring break). Families have the option to register for participation in the field trip or to remain behind at school. Coverage is offered from 12:00pm until 6:00pm. The fee for this ½ day program is NOT included in regular GDS 360 registration and is charged at $75/day, whether or not children participate in the field trip provided. Financial aid and staff discounts are applicable to the full $75 fee.

Inclement Weather
If school closes early due to inclement weather, GDS 360 will remain open until 6:00 p.m.; we do ask parents to pick up their children as soon as possible. We may suspend classes if we have insufficient staff coverage due to the weather. Refunds will not be provided.

Pick-Up Procedure
To ensure your child’s safety, s/he may not leave the building unaccompanied. We require that you or an authorized adult enter the main lobby to sign out your student(s). When you register, we ask that you list the names of the people permitted to pick up your child or that you e-mail the GDS 360 Program Director with instructions for pick-up. Please understand that if we do not recognize the person picking up your child, we may ask for ID and will call home if that person is not on the approved pick-up list.

Walking Home or Taking Public Transportation
Children who have written permission to walk home or take public transportation must leave campus by 4:00pm (3:00pm on Wednesdays) or they will be registered as a drop-in. If they are registered for GDS 360 and allowed to walk home, please leave specific instructions in the carpool section of registration, including the days and times the permission applies. The GDS 360 staff reserve the right to determine if there are circumstances which make it unsafe for a child to walk home (for instance, weather or darkness) and to request that an adult come to pick up the child(ren).

With your written permission to allow your child to walk home or take public transportation, you acknowledge that Georgetown Day School should allow your child to leave campus alone and that the child will be unaccompanied and out of the School's custody once s/he has left campus and that there are certain risks associated with being an unaccompanied child. You agree to release Georgetown Day School from liability associated with leaving campus alone once your child has left campus. You further understand that GDS may make a decision that it is unsafe to allow your child to walk home (for instance, in severe weather) and that in this case, your child will be enrolled in the after-camp care program as a drop-in until it is safe for him/her to leave or until someone has arrived to pick up your child.

Evening Activities
Please make plans to pick up your child by 6:00 pm if your child is staying for an evening activity on campus, such as a dance, performance, or sports practice. A GDS 360 staff member must remain with your child until s/he has been signed out and you will be responsible for any late pick-up fees incurred during that time. Financial Aid is not applicable towards these charges.
 
15-Minute Grace Period
Students are given a 15-minute grace period from the time a non-GDS 360 program ends during which to be picked up. Even if a parent is elsewhere in the building, your child will be considered a drop-in to GDS 360 if he or she is unattended in any part of the building—including the Library and Main Lab. In these cases, for their safety, your child will be enrolled in the GDS 360 and applicable drop-in charges will apply.

Restricted Areas
Areas of the School used by the After-School Program (such as the Big Toy) are for GDS 360 students only. Non GDS 360 students may not play in these areas, even under a parent’s supervision. If your child would like to play in an area used by GDS 360, applicable drop-in charges will apply.

Teacher Absence
In some cases, a teacher of an enrichment class may be unable to attend or may become ill. When possible, we will let you know or find a substitute. When a substitute is not available, students will join the Clubhouse Activities or Homework Center. Refunds will not be given unless a teacher is unable to complete the session and a replacement cannot be found. In this case, refunds will be prorated based on the number of classes or days a child attended.



Health Care

After-School Health Capacities
GDS 360 does not have an RN on hand, though we have several staff members with up to date first aid and CPR. We are not able to give any medication after school except rescue inhalers and EpiPens. We are NOT able to give benadryl for allergies, medications for headaches, stomach aches, or any other over-the-counter prescriptions that may be given during the day. If your child has health issues requiring medication other than rescue inhalers or EpiPens in the afternoon, please reach out to the GDS 360 Director and/or school nurse to determine whether we have the right accommodations in place to support your child.



Registration, Fees & Financial Aid

Registration
Registration for all GDS 360 Extended Day Programs takes place online. Fall registration typically opens on the first weekday in August and Spring registration typically opens the day prior to Thanksgiving Break. Sessions run September-December and January-June.

Program Fees
When you register for a GDS 360 program, whether it be an enrichment class, clubhouse activities (our structured childcare program), or Homework Center, you will be responsible for a class fee for the season. This fee will include a nonrefundable, minimum fee. This minimum fee includes the registration fee and any materials fees. Early registration discounts generally expire the week before the season begins.

Financial Aid
There are two components to the program fees: the minimum fee and the overall fee. Financial aid is not applicable to the minimum fee. However, families currently receiving financial aid receive the same percentage of assistance on the balance of the GDS 360 fees (overall minus minimum) as on school-year tuition. Financial Aid is not applicable towards the minimum fee for each class or drop-ins, or late pick-up fees. To apply your financial aid percent when you register online, enter the financial aid code which will be emailed to you.  If you do not have the financial aid code, please contact the GDS Auxiliary Programs Associate.
 
Faculty/Staff Discounts
GDS Faculty and Staff whose children are GDS students are entitled to reductions in the GDS 360 program fees. While faculty and staff do not pay the full class rate, they must pay the minimum class fee or drop-in fee. Faculty/Staff discounts do not apply to any late pick-up fees.


Payments, Cancellations & Refunds

Payment Policy
Payment may be made at the time of registration. You are financially responsible for all days for which you are registered, whether or not your student attends or if school is unexpectedly canceled (for instance, due to inclement weather). Invoices will be issued on a monthly basis. If you have outstanding debts in a given program, your child may not participate in that program until you have settled your account with the Business Office. Families that select the option to set up a payment plan with Jessica have 15 business days to contact her, via email or phone, to make those arrangements. Parents who do not set up a payment plan within 15 business days, who default on their payment plan, or who do not update a declined card within 15 business days will be charged $15 per month until the plan is set up. That $15 per month fee will not be reversed even if a payment plan is subsequently established. Students whose families go more than 2 months without addressing the payment plan will be removed from any registered classes. Students of families with outstanding balances at the end of a semester will have their report cards held and will be not be allowed to register for classes for the subsequent semester and will be removed from classes for which they are registered.
 
Proration Policy: Should you join a class late in the year, you will pay $52 plus $25 times the number of class dates remaining in the year. Should you join clubhouse or homework center late in the year, you will pay $38 plus $25 times the number of class dates remaining in the year. 
 
Our cancellation policy is clear that refunds are not given for cancellations made after 9am on the day following the second class meeting. However, in some situations, you may know that your child will only be able to participate for part of a semester. In this case, when we are told AT THE TIME OF REGISTRATION, if you withdraw from clubhouse or homework center early, you will pay $38 plus $25 times the number of times the class has met to date.  If you withdraw from a class early, you will pay $52 plus $25 times the number of times the class has met to date.

Cancellation Policy

Minimum class fees are non-refundable. Should you decide to withdraw from a program, contact the Auxiliary Programs Office by email and in writing no later than 9:00am the day following the second-class/program meeting. All fees are non-refundable after 9:00am on the day following the second class. After that date, you are financially responsible for the entire season and the registration and materials fees regardless of whether or not your child attends.

Should you withdraw in writing from a class by 9:00am on the day following the second class and should your child's withdrawal or absence from a class bring the total number of students below the minimum number needed for the class to run (usually 8 students), you will not be refunded. If your child’s withdrawal does not impact the ability of the class to run and is received on time, you will be responsible for paying for the minimum fee and a prorated portion of the balance of the fee.


Drop In & Late Pick Up

GDS 360 Drop-In Policy
As of October 1, families who would like their children to drop-in for GDS 360 can indicate that on SchoolPass. Students enrolled as drop-ins will be sent to GDS 360 and participate in snack and any programming (clubhouse, homework center, or Friday Funday) taking place from the end of the school day until the parent arrives. A drop-in fee will be assessed whether or not the parent picks up before 4:00 p.m. (3:00 p.m. Wednesdays). Families who expect to pick up their children before 4:00 p.m. (3:00 p.m. Wednesdays) should keep their children in carpool. Please note that carpool officially ends at 3:45 p.m. (2:45 p.m. Wednesdays) and that a grace period for a late pick-up ends at 4:00 p.m. (3:00 p.m. Wednesdays) sharp. At that time, students will become GDS 360 drop-ins and charged the relevant drop-in fee.

Drop-In Bundle
Drop-ins are not intended to be a regular part of your child’s after-school care. However, we recognize that life happens and that you may occasionally need to leave your child at GDS while you’re at a late meeting or because your regular childcare coverage schedule has changed. As part of GDS 360 registration, families may select for a once-per-season drop-in bundle of 10 drop-ins at a reduced rate. No refunds are given if all drop-ins are not used. After the 10 drop-ins are used, regular drop-in fees apply. If you know you will need more than 10 drop-ins in a season, we recommend that you go ahead and register for a GDS 360 class. The Drop-in Bundle is not applicable retroactively (so may not be applied to drop-ins incurred before it is purchased) and only one drop-in bundle may be used per semester. If the first semester's drop-in bundle is not used in full, it may be extended to last the full year. A second drop-in bundle may be purchased second semester.

Drop-In Fees and Financial Aid
If a student drops-in on a Monday, Tuesday, Thursday, or Friday there is a flat charge of $40. For any student who drops-in on a Wednesday there is a flat charge of $50.  

Financial aid and faculty/staff discounts will be calculated based off of $30 ($10 minimum payment Monday, Tuesday, Thursday, Friday) and $37.50 ($12.50 minimum payment on Wednesday).

Consecutive Drop-Ins
Please note: If you drop-in on the same day of the week for three (3) relatively consecutive days of the week within one season (e.g. 3 Mondays within quick succession), you will be registered and charged for the GDS 360 program for that day unless arrangements are made at the start of the season.

Drop Ins for Middle School Students
Due to the number of middle school after-school clubs, sports, and performances, the drop-in policy for middle school students will be different than that for lower-school students. Middle school students will be charged for drop-ins at the rate of $10 per 15 minutes with a cap of $40 everyday but Wednesday when the cap will be $50. Fees for pick ups after 6pm will not change. As most clubs end at 5:00pm, this will allow flexibility for families who would otherwise be signed up for the after-school program.

Policy for siblings of 7th and 8th grade athletes
We recognize that 7th and 8th grade sports are mandatory for all students and that, occasionally, a team participating in a 7th or 8th grade sport may return to GDS after 4pm. For siblings of these athletes, they may remain on campus without a charge under the following circumstances:
  • They must check-in and wait quietly in the main LMS lobby for their sibling.
  • They should let the GDS 360 representative know who their sibling is and what team the sibling is on.
  • The student must be well-behaved and follow the instructions of the GDS 360 representative, the security guard, or other GDS adults in the space. Students who cannot follow instructions or who are unable to sit quietly to wait for their siblings will be signed into GDS 360's clubhouse or homework center at the drop-in rate.
  • The sibling must be picked up within the 15 minute grace period of the scheduled arrival time of the athlete's sports team.
Late Pick-Ups
All GDS 360 activities end at 6:00pm. If you do not pick up your child by 6:00pm, you will be charged a $15 penalty for every 10 minutes after 6:00 pm (rounded up, by the School's clock) you are late to pick up your child for the first 3 pickups for the year and then $25 per $10 minutes after the 4th late pickup. You will be billed for these charges on a monthly basis. An adult must enter the building to sign your child out of the program at the end of the day. A GDS 360 staff member must remain with your child until s/he has been signed out and you will be responsible for any late pick-up fees. Financial Aid is not applicable towards these charges, nor will the charge be adjusted for siblings, inclement weather, traffic, etc.


Enrichment Classes

Class Absences
If your child is absent for three or more classes in a session or if your child does not wish to attend a class, we reserve the right to remove your child from the class with no refunds provided.
 
Class Times
Generally speaking, classes run from 3:30 to 4:45pm (also 2:30 to 3:45pm and 4:00 to 5:00pm on Wednesdays). In signing a child up for a class, we ask that parents inform their children that they are registered and expected to participate for the duration of the class and that parents pick up AFTER a class has ended whenever possible to avoid disrupting the activity.

Class Attendance and Early Pick-Ups
As a courtesy to the teacher and other students in the class, we ask that students remain in the class for the full class period except in emergencies. Students will not be called to go home during a class except in urgent situations. Should you know in advance that your child will be unable to attend the full class, please email the GDS 360 Program Director by 1 pm. Depending on the time you need to pick up your child, we may ask that s/he not participate in the class that day to prevent disruption to the class. Should you pick up your child early from a given class 3 or more times in a season, we may ask that the student no longer participate in the class. No refunds will be given.

Minimum Registration
In general, a minimum of 8 students must be registered for any class to move forward. Should a class be under-enrolled, we will let you know within two weeks of the class start date if it will be canceled.

Class Cancellations and Refunds
If we cancel a class in which your child is participating, GDS will provide a refund for any classes taking place after the cancellation decision has been made. If you cancel your child's participation in a class, regular cancellation policies will apply.

Sports Enrichment Classes and Winter/Rainy Weather
If your child has opted for a sports enrichment class taking place in the winter, please ensure that s/he bring sufficiently warm clothing for outside play. Should the weather be too cold or too wet, we will move indoors for alternate athletic activities (teamwork games, cooperative activities, strength and training, etc.). You will not receive a refund or credit should we be unable to play the sport outdoors.


GDS Bus Service

Bethesda, Takoma Park/NW DC, and Virginia Drop-In Bus Policy
We understand that families may wish to test out one of our morning bus routes or may occasionally need to ride into school with a friend. We are able to offer drop-in bus ridership for the Bethesda, Takoma Park/NW DC, and Virginia busses only. The Hopper Express and Hop2It busses are at capacity so we are not able to offer drop-in ridership for those busses.
 
If you choose to drop in for one of these morning bus routes, your first 3 rides will be charged at $15/ride. On your fourth ride, you will be billed the annual rate minus what you have paid to date. No prorations will be given based on time of year. Financial aid does not apply to drop-ins but does apply to the annual rate. There is no guarantee of space being available and regularly registered students will be boarded first. The bus driver will note the name of any unregistered students dropping into the bus and you will be billed accordingly.

Hopper Express and Hop2It Bus Service    
In our continuing effort to be environmentally responsible and to make life a little easier for our families, GDS is pleased to offer transportation from the High School to the Lower Middle School in the mornings only and Hop2It bus service in the afternoons to the Bethesda Pool only.

Hopper Express
The Hopper Express departs the High School at 7:30 a.m. sharp each morning when GDS is in session. The bus leaves from 42nd Street, outside the glass double doors at the High School. Please park in designated parking spots on the same side of 42nd Street as the bus to avoid traffic congestion and for the safety of children. Please note that the Hopper Express does not run on Field Day or days when the Lower Middle School is not in session.

Hop2It
The Hop2It afternoon bus services runs from the LMS Lower Lot to the lower parking lot at the Bethesda Pool (6300 Little Falls Road) on days when GDS is in session with a regular dismissal time (not on the Fridays when winter and spring break begin or on field day). The bus will depart the LMS at 3:40 p.m. (2:40 p.m. Wednesdays) and is estimated to arrive at the Bethesda Pool at 4:00 p.m. (3:00 p.m. Wednesdays) depending on traffic. Unfortunately, due to logistical difficulties, playdates not registered for the bus will not be permitted to ride.

GDS Bus Service Registration
Both bus services include year-long registration and are contingent upon a minimum number of participants. Both fees are flat fees regardless of the number of rides or date of registration. Financial aid is offered for the Hopper Express but not for Hop2It. There is no trial period for participation and you will be billed after your child’s first ride.

Families may register online through the GDS 360 Portal for the Hopper Express and Hop2It bus service, GDS’s morning and afternoon bus services between the high school and the LMS in the morning and the LMS and the Bethesda Pool in the afternoon.

Financial Aid and Staff Discounts for GDS Bus Service
The Financial Aid award for the Hopper Express is $100 for the year. There is no financial aid for Hop2It.

The faculty/staff rate for the Hopper Express is $100 for the year. There is no faculty discount for the Hop2It.
  
Delayed Openings and Inclement Weather
In case of a delayed opening, the Hopper Express will often still run on the same delay as the school, however, please check the website for details and specific times as this may vary depending on the reason for the delay.

Hop2It Late Pick-Ups
Parents or another authorized adult must be present to pick up the child from the Bethesda Pool. If a child has not been picked up by 4:10 p.m. (3:10 p.m. on Wednesdays) he/she will be brought back to the LMS, arriving at approximately 4:45 p.m. (3:45 p.m. on Wednesdays). Parents will be given a 15-minute window from the time the bus returns to GDS before their child(ren) are enrolled in GDS 360 as a drop-in.

No Stops
For your child's safety, ONCE THE BUS PULLS AWAY FROM THE CURB, IT WILL NOT STOP TO PICK UP PASSENGERS. This is for the safety of your children.

Bus Rules    
The following are the rules and procedures related to riding the GDS busses. We appreciate you talking through these rules as a family and ensuring that you and your children understand and agree to follow them. This is both for safety reasons and to ensure that your child gets on the bus and that the bus departs on time. Students must behave in accordance to the School's community guidelines (including showing care, respect, and responsibility at all times). In addition:
  • All rules that apply to students on any other trip apply on the Hopper Express & Hop2It.
  • NO FOOD OR DRINK is allowed on the bus. The only exception is bottled water.
  • Remain seated, facing forward at all times.
  • Follow the instructions of the bus driver and/or the bus chaperone at all times.
  • Use "indoor voices."
  • Nothing goes out the bus windows—arms, legs, voices, trash, etc.
  • Follow the instructions of any adults involved in the Hopper Express
  • Play dates may not ride the bus unless the other student is also registered for the bus.
Should students be unable to follow the guidelines listed in this document, they will be given three warnings, with parents informed each time. Following the third warning, children may temporarily or permanently lose the privilege of riding the bus with no refunds given.   

Hopper Express Specific Rules
  • Do not allow your child to run across/walk across 42nd street on his/her own.
  • Parents should drop off children on the GDS side of Davenport & 42nd street for their safety.
Hop2It Specific Rules
Students riding the Hop2It bus:
  • Should report to the MultiPurpose Room (PK-5th grade) or the assigned Middle School classroom (6-8th grade) immediately after the bell rings. They will receive a snack and be checked in for the bus.
  • Must remain in the MultiPurpose Room or assigned Middle School classroom except to walk with the assigned teacher to the bus.
  • May do their homework or engage in seated games while waiting for the bus.
Hop2It parents should be aware of the following:
  • As part of carpool, students will wait approximately 20 minutes from the second bell dismissal before boarding the bus. The bus leaves promptly at 3:40 pm (cell phone time).
  • The Hop2It bus cannot wait for delayed MS athletics buses to return to campus.
  • If you are running late, please call LMS Reception at 202-295-6200 with an estimated arrival time. The bus will wait at the Bethesda pool parking lot until 4:10 pm (3:10 pm on Wednesdays). Students not picked up by this time will be brought back to the LMS
